How to assign a work order

Learn how to assign a single work order or in bulk.

ClosedSingle work order assignment

To assign a single work order to a technician, you can either use the Assignments Action menu or select the New Assignment silhouette image.

Use the Assignments Action menu

  1. Access the Details page of the work order you want to assign.

  2. Open the Action menu for Assignments on the right side of the page.

  3. Select a technician from the menu.

    The technician is assigned to the work order for the current day (with no specific time of day specified) and the technician's name and image appears for Assignments.

Use the New Assignment silhouette image

  1. Access the Details page of the work order you want to assign.

  2. Click the silhouette image for Assignments on the right side of the page.

    The Assignment calendar opens.

  3. Select the calendar for the technician you want to assign the work order to.

    You can use the available filters to search for a technician and open their calendar.

    The target date is highlighted by a red dotted box on the calendar.

  4. Click a date on the calendar to indicate when the work order should be completed.

    The New Assignment window opens.

  5. To set the assignment for a specific time of day, select No for the Anytime? setting and specify the assignment time.

    You must enable assignment time tracking to set an assignment for a specific time. We explain this preference in Work order scheduling administration.

  6. Specify other details about the assignment and click Save.

    The assignment is added to the technician's calendar.

ClosedBatch work order assignments

Assign a technician to multiple work orders at once: 

  1. From the Work Order module, click List on the toolbar.

    The Expanded Work Order List view opens.

  2. Use the filters at the top to narrow down the work orders you want to assign.

    For example, you could filter the list to show all open work orders.

  3. Click the check boxes for every work order you want to assign.

    You can also click the check at the top of the first column to select all work orders in the list (with filters applied).

  4. Click Assign at the bottom of the page.

    The Assign Labor window opens.

  5. In Assign to enter or select a technician.

  6. To set the assignments for a specific time of day, select No for the Anytime? setting and specify the assignment time.

    You must enable assignment time tracking to set an assignment for a specific time. We explain this preference in work order scheduling administration.

  7. To remove existing assignments on the selected work orders, select Remove existing assignments (reassign).

  8. Click Apply.

    All selected work orders are assigned to the technician.
